The Basics
 
 

Create a New Reference Manager Database
File >> New >> Give database a name

Display Tool/ Status bars

Display Tool bar: View >> Toolbars >> select Edit, Format, and General
Display Status bar: View >> Status bar

Inputting a New Record
References >>New Reference >>Select a Ref Type (e.g., Journal Article). Create a citation and close the record window.

Changing Reference List Display
Select Tools >> Reference List Display, then:

  • Select Insert Col or increase the number of columns

  • Click on Field Type >>select field type from the pull-down menu; this will also change the Header tag.

In order to view new display field, you may need to scroll to the extreme right

Exporting/Importing from Databases

Ovid MEDLINE

  1. Perform a search in Ovid and select citations to export. Scroll down to the Results Manager.
    • Under Fields >>Complete Reference
    • Under Citation Format >>Direct Export
    • Under Action >>Save
  2. Select Export results to Endnote, Procite, or Reference Manager  >>Continue. A small browser window will open:
    1. Select Open with and then select Other... from the pull-down menu.
    2. Select the Reference Manager program file. This is likely found under your computer's Program Files and be named RM.exe.
    3. Check the box labeled Do this automatically from now on >>OK.
  3. From Select a Reference Manager Database, highlight a database >>Open.
  4. Citations will appear in the database you selected, as well as a temporary database, labeled Last Imported.

ISI Web of Knowledge (use Internet Explorer)

  1. Perform a search in ISI Web of Science and use the checkboxes to select individual references.
  2. On the right side of the screen, under Output Records, select >> Export to Reference Software.
  3. From Select a Reference Manager database, highlight the database >>Open
PubMed
There are two ways of importing citations from PubMed into Reference Manager:

A. Sending citations from PubMed:

  1. Perform search in PubMed and select citations to import. 
  2. Change Display >>MEDLINE.Change Send to >>File. Save file onto you computer.
  3. Open a Reference Manager database and select File>>Import Text File.
    1. Under Database >>select database to import citations.
    2. Under Filter >>select the button and choose PubMed
    3. Under Text File >>select the button and choose the saved PubMed file.


B. Searching PubMed from within Reference Manager:

  1. Open a Reference Manager database.  Select Tools >>Internet Search.
  2. From the drop-down menu on the upper left side of the screen, select PubMed.
  3. Use the drop-down menus under Field to choose search fields and Connector to select Boolean operators (AND/OR/NOT).
  4. Select the icon or the F12 keyto run the search. Search results will appear in temporary database labeled Search 1 (the number will change based on how many searches have been performed).
  5. Use the checkboxes to select citations to copy into a permanent Reference Manager database. Then, select References >>Copy Between Databases.
  6. Choose a Source and Destination database using the drop-down menus. Reference Manager will re-number citations in the Destination database to reflect the addition of new citations.

Google Scholar

To set this feature up in Google Scholar:

  1. From the Google Scholar search page, click on the Scholars Preferences link.
  2.  Scroll down to the Bibliography Manager section.
  3. Select Show Links to Import into and select RefMan from the drop-down.
  4. Click Save Preferences.

To initiate a direct export to Reference Manager:

  1. Conduct your search in Google Scholar.

  2. Each record displayed will have an Import into RefMan link.  Clicking on the link will open a file download window. Select Open. This will launch Reference Manager.
  3. From Select a Reference Manager Database, highlight a library >>Open. Citations will appear in the database.

Library Catalogs

  1. Open a Reference Manager database and select Tools >>Internet Search. From the drop-down menu on the upper left side of the screen, select Z39.50 sites.
  2. A window will open listing available library catalogs. Select the catalog you wish to search using the checkbox and selecting OK.
  3. Follow Steps #3-6 under “Searching PubMed from within Reference Manager”

Saving Search Strategies Permanently on Reference Manager

  • Select the  icon and a small window will open. Select Save and name the search strategy.
  •  To re-run the search strategy, follow Step 1 above and select the  icon. A small window will open. Select Load and your search strategy will appear. Select the icon or the F12 keyto run the search.

Printing a Bibliography /Selecting Output Styles (Citation Format)

  • Bibliography >>Generate from Reference List. Select References to Include and Destination.
  • Under Output Style >>select the icon. A window will open, choose an output style and select Open.

Inserting Citations and Created a Bibliography in a Word Document

A Reference Manager must be open before inserting citations.

  • Open and save an MS Word document.

  • To insert citations, you can either:

    • In MS Word, select Tools >>Reference Manager >>Find Citation(s). Search for references in any open Reference Manager database. Select citations >>Insert.
    • Go into your Reference Manager database, select citation(s) and select the  icon from the toolbar. This will automatically insert the citation(s) into your MS Word document.

Creating a Bibliography/ Changing Output Styles

  • Tools >> Reference Manager >>Generate Bibliography >> select the icon to choose an output style.

  • Change output styles by repeating the step above and selecting a different output style. This will change the in-text citation style as well as the style of the bibliography.
